What the Site Audit workflow does

A facility audit is two jobs stitched together: the walk and the write-up. The walk is the easy half. The write-up is where audits stall, because every photo still has to be described, placed in an area, paired with an action, and typed into a report.

This workflow takes the second job. Capture the condition on the floor as a photo, a short clip, or a spoken note, and Soter reads it into the audit fields as a finding with its area and evidence attached, then drafts the corrective action underneath it. The assessor confirms the wording, sets the priority, assigns the owners, and signs.

Where site audits stall at scale

Three bottlenecks surface again and again across multi-site programs.

1. The write-up backlog. The walk takes an hour, the report takes the rest of the day, so audits pile up unfinished and findings go stale before anyone acts on them.
2. Inconsistent severity. Two auditors rate the same condition differently, so the report cannot be compared across sites and the riskiest findings do not always rise to the top.
3. Missing context. A finding without its location, evidence, owner, or due date is difficult to close and harder to review later.

How the workflow runs

1. Capture it on the floor. Photograph the condition, film it, or say what you see. The capture is the input, so there is no form to fill in the aisle.
2. Soter fills the audit fields. Each capture becomes a finding with its area, its evidence, and a written description drawn from what the photo, clip, or note shows.
3. Merge what repeats. Captures describing the same condition collapse into one finding, so a single issue is not counted three times.
4. Draft the corrective action. Every finding gets an action, an owner, and a target date underneath it.
5. Assessor confirms and signs. The assessor edits the wording, sets the priority, and signs the audit before it closes.
